Main Responsibilities: • Dealing with telephone calls and personal callers and liaising with parents on general matters face to face, by email, telephone or Teachers2Parents • Following up absence of pupils • Registering late pupils • Filtering cold callers • Keeping teachers informed by telephone or email following calls from parents, cares and others • Supporting the administrative requirements of the Head and helping with day to day admin tasks as required • Administration of staff appointments/arranging interviews. • Creating standard and non-standard letters. • Photocopying. • Filing/archiving. • Maintaining the smooth running of the printer/photocopiers: ordering toner, calling the engineer when needed. • Proofreading documents. • Liaising with suppliers, service providers and handling purchase orders, e.g. stationary and office supplies, lift engineers, school uniform suppliers etc. • Handling the administration of school photos: collecting orders, distribution of the photos and dealing with any problems that arise. • Helping with the issuing of fobs. • Opening the post and distributing it to the staff. • Overseeing the day to day administration of the school bus routes and related communications. • Accepting deliveries and informing the relevant teachers. • Printing end of term pupil reports. • Supporting the end of term processes involving pupil reports • To undertake any other duties as directed by the Head in order to fulfil the requirement of the role Person Specification: Candidates should be educated to A’ Level or above and must have excellent spoken and written English also: • Affinity with children, parents and all staff • Smart appearance • Excellent telephone manner • Good secretarial/word processing skills Additionally, the post holder must evidence: • Enthusiasm • Initiative • Discretion and integrity • Reliability • Collaborative approach as well as ability to work independently • Ability to work in a fast-moving environment managing conflicting demands and priorities therefore efficiency, flexibility and adaptability are essential The school believes that every student can realise their true potential with the right support and teaching.
