JOB TITLE: Shop Manager. LOCATION: Life in the Town (Enfield Town) & Life in the Green (Edmonton) ACCOUNTABLE TO: Charity Directors (overall) & LFLC Manager HOURS: 28 hours minimum SALARY: £14 per hour CONTRACT: Fixed Term (6 months) 1. OVERALL PURPOSE OF THE JOB To deliver sales/profit targets through the effective management and motivation of the shop team including volunteers. Exceed customer expectations by providing the highest quality service, whilst promoting independence for young people from West Lea School, pupils from other schools/colleges and other sectors of the community. To be responsible for all aspects of the charity shop(s), including staffing, volunteers, health & safety, customer service, stock management/merchandising, financial records, optimising sales, administration, compliance with current legislation/retail policy and cultivate external relationships to promote our aims, objectives and activities within the local community. 2. PRINCIPAL RESPONSIBILITIES AND MAIN DUTIES • To take day to day responsibility for managing the shop(s), in close liaison with the LFLC Manager. • To ensure that all sales targets, KPI’s and results are communicated and that all staff are aware of, understand and are working to meet/exceed the agreed targets and KPI’s • Shop Premises: overall responsibility for the shop premises, all aspects of health & safety, ensuring they are clean, safe and tidy. • Trading hours: opening the shop and ensuring trading hours are strictly adhered to in line with the centre regulations and policies. • Operational Procedures: help monitor the security of stock and cash on the premises and report problems and discrepancies to the Line Manager. • To operate the shop cash till and complete the daily cashing up procedures and all relevant paperwork. Be responsible for daily petty cash. Help maintain required standards of shop cleanliness. • Ensure all volunteers training including; customer care, health & safety, working at heights, manual lifting, first aid and any other training required. Log to be kept and maintained by the shop manager. To be responsible for the daily management of the shop team, including performance reviews for any volunteer and shop assistants. • To draft and have oversight of the staffing rota for both shops, working with the LFLC Manager and trustees, work experience co-ordinator and HR Manager at West Lea to ensure that shops are adequately staffed and that work experience opportunities are maximised for pupils. • Attend relevant meetings with staff/management and be responsible for cascading information to team as appropriate. • To ensure all shop equipment is kept in good working order (regularly PAT tested) and to inform Line Manager of essential and necessary repairs and maintenance. • Staffing: To help recruit and train volunteers, to maintain an up to date rota, to encourage team building and an active involvement in shop activities by volunteers, to delegate shop tasks to the volunteers according to their strengths. To identify and address training needs of volunteers. • To lead and develop the staff/volunteer team in the shop, encouraging effective communication, setting objectives, initiating work plans and helping to foster a positive team spirit through regular team meetings. To complete performance management for all staff and ensure they have personal learning goals in place. • Pupils: To teach and support children with their learning activities in the shop. To work closely with teachers to make sure pupils enjoy learning in a safe and caring setting. • Stock: operate effective stock management systems to realise the maximum profit possible from donated goods. These to include: the use of a clear sorting and pricing policy, to adhere to an established set of merchandising standards, to enforce a strict stock rotation, to undertake promotional events where appropriate, to maintain attractive and themed window displays on a regular basis. This to include events happening at the school. • Achieves the optimum price point for all stock items and promotional merchandise for seasoned and windowed themes. Continually reviews the rotation, quality and replenishment of stock in order to maximise sales. • Stock Generation: To help manage the delivery and collection of stock effectively ensuring that the driver/collector targets appropriate areas within the branch boundary. To undertake any other measures and procedures of procuring donated stock in order to ensure appropriate levels and quality of stock to maintain identified sales stock values and daily income. • Administration and Financial Procedures: complete all administration as required by the School, charity, charity law and trading legislation. Help to maintain an accurate account of the shops financial position, to reconcile the takings on a daily basis, and to ensure strict security measures are implemented for unbanked cash after hour and will include weekends and holiday periods. To communicate shop performance figures to the line manager at regular and agreed intervals. • Regulations: To comply with all current legislation and school policy. This to include Health and Safety, Trading Standards, HMRC, VAT, Retail Law, shopping centre policies, landlord policies and any other as directed by the school and/or charity. • Security: To act as main key holder and delegate key holding to paid staff and other volunteers within procedural guidelines. To ensure the security of shop takings. To provide best circumstances for the personal security of volunteers. To ensure that security procedures are understood and implemented by all staff/volunteers. • Branding: To ensure that both shops are consistently presented and are in line with corporate branding guidelines. 3. OTHER DUTIES • To support the training and curriculum development of other school’s young people, volunteers . • To carry out these tasks and responsibilities with an understanding of and commitment to West Lea School equal opportunities policy. • To use new technology as required. • To do all within your powers to keep Learning for Life Charity property secure and in good working order. • To carry out any other duties deemed appropriate by the Line Manager. • Customer Service - to ensure customer care and quality of service is maintained at all times. To provide excellent customer care through quality of service, dealing with complaints both efficiently and effectively. 4. QUALITIES/ EXPERIENCE/SKILLS • Previous retail/charity shop experience • Experience of managing staff • Exceptional organisational and time management abilities • Ability to handle multiple shops at the same time and meet deadlines • Great communication skills • Satisfactory DBS check • Demonstrable knowledge of Equality and Diversity • An open and friendly manner and able to develop relationships and communicate effectively with all stakeholders. • Able to project a positive and professional image for the Charity and School and be an excellent role model for the interns. • High level of personal integrity and confidentiality. • Able to work independently or part of a team. • Able to plan, work under pressure, priorities work and meet deadlines. • Manage expectations of all stakeholders and challenge as appropriate. • Prioritise, plan and organise themselves and others All services in Enfield are committed to safeguarding and promoting the welfare of children and young people.
