Ian Gibbs Estate Management Ltd is a well-respected and established property management company based in Enfield. We deal with the service charge management of blocks of residential flats. We have a new opportunity for a proactive and efficient Property Administrator to join our friendly team. This is an essential role working within our Support Team, working closely the Health & Safety Manager & Property Managers to support them. We are looking for someone with a can-do attitude, a high level of organisation and great communication skills. Full training will be provided, so you will need to be keen to learn. Location: Windmill Hill, Enfield, with an opportunity of hybrid working on completion of training Salary: £28,000 - £30,000 per annum, depending on experience (full time, pro rata if less than 40 hours) Benefits: 22 days annual leave (pro rata for 4 days a week), plus bank holidays, pension, employee assistance programme, Hours: 32-40 hours per week (4 or 5 days a week), Monday – Friday, 9.30am-5.30pm (flexible hours available e.g. 8am-4pm) Contract: 1-year fixed term, with the possibility of becoming permanent The successful candidate will: • Ensure that company policies and procedures are consistently applied to required standards. • Daily liaison with tenants, landlords and contractors, providing a high level of customer service and politeness when dealing with questions, complaints and updates. • Liaise with H&S Consultants and Property Managers to arrange appointments to attend site. • Liaise with Property Managers to ensure keys/codes/permits are correct before sending them to the H&S Consultant. • Arrange for keys/code information to be sent in good time for the H&S visits. • Liaise with H&S Consultants & Property Managers to send all relevant site reports they request before and after their visit to help assist with producing final report. • Access and navigate H&S portal. • Notify Property Managers and H&S Manager when the reports have arrived so they can action any points raised. • Undertake general administrative tasks in relation mail merges, filing of health & safety certificates, reports, emails, database updates and record keeping. • Assist with the project management of key projects. Key experience, skills & attributes required for the role: • Experience of working in property would be an advantage, particularly property management/maintenance • Organised and methodical • Eye for detail and accuracy, ability to read/scan a document and pick out and understand important detail • Show professionalism and loyalty to the company at all times • Demonstrate respect for others • Demonstrates politeness with clients and identifies appropriate courses of action • Committed to providing customer service • Good IT skills including Word, Excel skills • Communicate in a clear and structured fashion (written and verbal) • Demonstrates a proactive 'can do' approach • Deliver agreed performance objectives with required support • Demonstrate a willingness and appetite to learn • Experience of working effectively in teams • Work towards gaining a thorough knowledge of the health & safety framework within which a property management company must operate • Results orientated and develops internal network of contacts - forging relationships with colleagues • Strong written communication and numerical skills to produce succinct correspondence and reports • The ability to research, analyse and reason logically and effectively within tight and conflicting timeframes • Seek opportunities to gain technical and regulatory knowledge and skills in own field of expertise If this role is of interest to you and you have the skills and experience required, please send a covering letter explaining why you feel you are a suitable candidate and an up-to-date CV.
