Administrative Assistant (Potters Bar) Salary: £22,000 - 20 days holiday (Plus bank holidays). - Enhanced private health care* - Target led team days out - Continuous professional development - Pension contributions - Opportunity to work paid overtime - 40 hours a week (including 30 minute paid daily break) - Permanent full time position - Immediate start Required as soon as possible, a full time office based Admin Assistant at the Potters Bar Depot. Thor’s Trees has a new position to assist with the finance and office administrative needs of the business. The successful candidate will have a direct responsibility to the Managing Director. Good GCSE English/Maths (or equivalent) is necessary to the role in additions to relevant experience and secretarial and administrative knowledge, the candidate will need to show evidence of the following: - Computer literate (IOS), good oral and written communication skills. - Organisational skills and the ability to multitask and work well under pressure and to tight timelines. - The ability to be proactive and take the initiative. - Ensure the staff timetable/diary is organised with all shifts and job sheets arranged. - Deal with customer enquiries and liaising with clients and maintain client relationships. - Deal with customer complaints where necessary. - Discretion and an understanding of confidential issues. - Input customer information onto the databases used. - Good team working skills. - Excellent word processing and IT skills, including knowledge of a range of software packages (Microsoft Word, Excel, Outlook, Xero). - Good organisational and time management skills. - The ability to research, digest, analyse and present material clearly and concisely. - The ability to work on your own initiative. - Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines. - The ability to make strategic and effective decisions. Role/Responsibilities will include; - Creating invoices (Xero). - Creating Job-sheets (Word). - Preparing new client files, data entry, retrieval and database maintenance (Excel). - Email/calendar/Diary management (Outlook) - Processing new client enquiries. - Filing & archiving. - Aiding with general client enquiries. - General administrative & office duties. - Booking in jobs and diary management. - Dealing with incoming and outgoing correspondence. - Operating the main phone line system. - Speaking to customers and clients to answer queries and resolve issues including any client complaints. - Daily/weekly reporting to the Managing Director and Admin team. - Organising team building days Candidate requirements • Good understanding of Microsoft Office apps (know your way around office applications) • Good understanding and working your way with Xero accounting software (training provided). • Excellent work ethic • Experienced with IOS (Mac) • Logical thinker / trouble shooter • Highly organised • Work on their own initiative with a thirst for knowledge • Meticulous attention to detail • Comfortable with adapting to new and advancing technologies • Happy to do continuous on the job training • Ownership of their tasks and duties • Empathise, Empower and Engage with our existing and new clients • Be able to follow and adhere to instructions • Team player • Trustworthy • Customer focused • Positive with a ‘can do’ attitude • Able to handle pressure and meet deadlines • Experience with calendar management *after passing 6 month probation period
