Department: Accounts Responsible to: Crate Supervisor Based at: Head Office, 1 Ardra Road, London, N9 0BD Salary: £25,000 pro-rata. Responsible for: Ensuring accurate client crate records are maintained and updated on a regular basis. Monitoring supplier information to ensure that all crate deliveries and collections are carried out as requested and charges prepared are accurate. Reducing extended crate hire invoice queries and credit notes and invoicing monthly charges for all extended crate hire. Key Roles and Responsibilities Main duties: • Update daily, extended crate hire spreadsheet from supplier Daily Crate Statement and delivery /collection dockets. • Confirm all collections and deliveries by e-mail to customers daily • Order stock flow reports and crate statements from supplier when required. • Liaise with Warehouse staff to ensure that correct allocations are made for all crates brought back to Premier premises and collected by supplier from same. • Cross reference Month End crate statement from supplier against spreadsheet at the end of every month, resolving any discrepancies. • Authorise supplier invoices for payment, notifying suppliers in writing of all queries in order for relevant credit notes to be raised. • Post supplier invoices onto purchase ledger once approved. • Flag any queried invoices on purchase ledger as disputed and remove from disputed list when credit notes are received. • Raise monthly invoices for all extended crate hire invoices from the information populated on crate spreadsheet and confirm balance of outstanding crates on each invoice, including a brief description of what move the invoice relates to. • Resolve extended crate hire invoice queries raised by credit control or customer. • Should crates need to be written off as lost, ensure suppliers are notified in writing via fax or email (to avoid any discrepancies). • All write off’s must be agreed by the Line Manager. • All associated filing related to all the above duties • Raise Sales Invoices on SAGE • Ad-hoc duties when required such as raising sales invoices Professional skills & Qualifications • Excellent communication skills • Excellent Excel proficiency • Excellent statistical skills Equal Employment Opportunity Premier Workplace Services is an equal opportunities employer.
